Privacy policy

Rhythmic Gemstones of London ("the club", "we") runs rhythmic gymnastics classes in London and Strathroy, Ontario. This policy explains what personal information we collect on rhythmicgemstones.com and when you contact or register with us, how we use it, who we share it with and the choices you have.

What we collect

• Registration form: the class and location you choose; the athlete's name and date of birth; each parent or guardian's name, email, phone and home address; an emergency contact's name, phone and relationship to the athlete; how you heard about us; any notes you add; and your agreement to the club's policies, with the date and time you agreed.
• Contact form: your name, phone, email and message.
• Calls, emails and payments: whatever you choose to tell us, and the payment details we need to match your payment to your registration (for example, the name on an e-transfer).
• When you visit the site: like any website, your browser shares your IP address and basic device information with the services that deliver the site. We use your IP address for a short time only to stop the forms being flooded with repeat submissions. We count visits with Cloudflare Web Analytics, which doesn't use cookies or follow you to other sites and can't identify you: it records the pages viewed, the site that sent you there, and your general location and type of device. We do not use advertising trackers.

Consent

By sending a form or registering, you consent to us collecting, using and sharing your information as this policy describes. A parent or guardian gives that consent on behalf of their athlete. You can withdraw your consent at any time (see "Your choices and rights" below), though without certain details, such as an emergency contact, we may not be able to keep an athlete in class.

Children's information

Information about an athlete is given to us by their parent or guardian, who fills in the registration form. If you think a child has sent us personal information without a parent or guardian, email kathy@rhythmicgemstones.com and we will delete it.

Health information

If you tell us about an athlete's health, such as an allergy, a medical condition or an injury, we use it only to keep them safe in class and share it only with the coaches who need to know it.

How we use it

• To register athletes, place them in the right class and keep class records.
• To contact you about classes, schedule changes, cancellations, payments and club events.
• To reach a parent, guardian or emergency contact if something happens during a class.
• To answer your questions and keep a record that the club's policies were agreed to.
• To understand how families find us.

We never sell or rent your information, and we never share it with third parties for their marketing.

Who we share it with

Within the club, only the people who run the club and the coaches who need it to run an athlete's class see their information. Outside the club, we share it only with these organizations, and only what they need:

• Gymnastics Ontario, the provincial governing body for gymnastics, to register athletes with it and arrange the annual Ontario Gymnastics insurance. Gymnastics Ontario handles that information under its own privacy policy.
• Cloudflare hosts this website and counts visits to it.
• LarkLocal builds and runs this website. Form submissions pass through LarkLocal's server at larklocal.com, which emails them to the club and does not keep a copy.
• Resend delivers those form emails.
• Google provides the club's email, the address suggestions on the registration form (what you type in an address field is sent to Google to find matching addresses) and the site's fonts.

We may also share information when the law requires it, or with emergency services when an athlete's health or safety is at risk.

Some of these providers store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.

How long we keep it

We keep registration information while an athlete is registered with the club and afterwards only as long as we need it for our records or for legal or insurance reasons. Then we delete it. Messages from the contact form are kept only as long as we need them to answer you.

How we protect it

The site uses an encrypted connection (HTTPS), and forms are sent encrypted. Registrations and messages go only to the club's inbox, and the website does not store them. No method of sending or storing information is completely secure, but we take reasonable care to protect what you give us.

If your information is ever lost, stolen or accessed without permission in a way that creates a real risk of significant harm, we will tell you and report it to the Office of the Privacy Commissioner of Canada, as the law requires.

Keeping it accurate

Please tell us when your phone number, email, address or emergency contact changes, so we can always reach you.

Emails from us

We email you about your athlete's registration, classes, schedule changes and club events. You can ask us to stop sending anything other than messages about your athlete's registration at any time.

Photos and videos

As set out in the club's privacy and photo policy, by registering you consent to the club using photos or videos taken during classes to promote the club, unless you opt out in writing. To opt out, email kathy@rhythmicgemstones.com. When we share photos, we don't add an athlete's full name or any contact details. If you'd like a photo of your athlete taken down from the website or the club's social media, email us and we will remove it.

Cookies

This site does not set its own cookies, and our visit counts don't use them. The address suggestions on the registration form are provided by Google, which may set cookies or collect information about their use under Google's privacy policy.

Your choices and rights

You can ask to see the personal information we hold about you or your athlete, correct it, have it deleted, or withdraw your consent to photos or to emails from us. Email kathy@rhythmicgemstones.com or call (519) 652-9830. We will reply within 30 days. Kathy is responsible for privacy at the club. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

If we change this policy, we will post the new version here with a new date.
